A Business Partner may provide information where reasonably necessary to investigate a complaint, Offer or Platform issue.

We process personal information only where we have an appropriate lawful basis.

  4. responding to enquiries;
  5. managing Business Partner relationships;
  6. handling complaints;
  7. establishing, exercising or defending legal claims;
  8. maintaining appropriate business records; and
  9. improving administration and service delivery.

Where we rely on legitimate interests, we consider the necessity of the processing and its impact on individuals.

Members ordinarily demonstrate eligibility for an Offer by presenting their Membership Card.

Where a Member independently provides personal information directly to a Business Partner in connection with purchasing goods or services, the Business Partner may process that information independently.

Where we rely on consent:

  1. consent will be separate from acceptance of the Terms;
  2. marketing will not be a condition of Membership where it is not necessary for the service;

14. INTERNATIONAL TRANSFERS

Some technology or service providers used by Ventago may process personal information outside the United Kingdom.

Where personal information is transferred internationally, we will take steps required by applicable UK data-protection law.

Depending on the destination and circumstances, this may include reliance on:

  1. UK adequacy regulations;
  2. appropriate safeguards;
  3. recognised contractual mechanisms; or
  4. another lawful transfer mechanism.

Where appropriate safeguards are required, we will consider whether the relevant arrangements provide protection for individuals as required under applicable UK law.

15. DATA RETENTION

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and for applicable legal, accounting, regulatory, security or claims-related requirements.

  2. maintain financial records;
  3. establish or defend legal claims;
  4. investigate fraud or misuse;

  1. unauthorised access;
  2. unlawful use;
  3. accidental loss;
  4. destruction;
  5. alteration; and
  6. unauthorised disclosure.

No online system can guarantee absolute security.

Users are responsible for maintaining the confidentiality of their Account credentials.

18. YOUR DATA-PROTECTION RIGHTS

Depending on the circumstances, you may have rights concerning your personal information, including the right to:

  1. request access;
  2. request correction;
  3. request erasure;
  4. request restriction;
  5. object to certain processing;
  6. request data portability where applicable;
  7. withdraw consent where processing relies on consent; and
  8. complain about how your information is handled.

These rights are subject to applicable legal conditions and exemptions.

Requests may be sent to:

• info@ventago.co.uk

We may need to verify your identity before acting on a request.

19. RIGHT TO OBJECT

Where we process personal information on the basis of legitimate interests, you may have the right to object based on your particular situation.

Where personal information is processed for direct marketing, you have the right to object to that processing.

20. WITHDRAWING CONSENT

Where we rely on consent, you may withdraw it at any time.

Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn.

For cookie and similar technology consent, preferences may be changed using the cookie controls described in Part B.

21. DATA-PROTECTION COMPLAINTS

If you have concerns about how Ventago has handled your personal information, please contact:

• info@ventago.co.uk

We will acknowledge a data-protection complaint within 30 days.

We will investigate the complaint appropriately, keep you informed where necessary and provide an outcome without unjustifiable or excessive delay.

You also have the right to make a complaint to the Information Commissioner’s Office (ICO).

22. THIRD-PARTY WEBSITES AND SERVICES

The Platform may contain links to third-party websites or services.

Ventago does not control the privacy practices of independent third parties.

Where you leave Ventago or interact directly with an independent third-party service, you should review that provider’s privacy information.

23. CHILDREN

Ventago Membership is available only to persons aged 18 or over.

The Platform is not intended to provide Membership Accounts to children.

If we become aware that personal information has been collected contrary to this requirement, we will take appropriate action.

24. AUTOMATED DECISION-MAKING

Ventago does not currently use solely automated decision-making that produces legal effects concerning individuals or similarly significantly affects them.

If this changes, we will provide the information required by applicable data-protection law.

PART B — COOKIE AND STORAGE TECHNOLOGY POLICY

25. WHAT ARE COOKIES?

Cookies are small files or pieces of information stored on a computer, smartphone, tablet or other device when a website is used.

Privacy rules may also apply to technologies other than conventional cookies where information is stored on or accessed from a user’s device.

These may include:

  1. local storage;

  6. Google Tag Manager;
  7. Google Maps;
  8. Google reCAPTCHA;
  9. CookieYes; and
  10. Facebook/Meta integration, including Meta technology where enabled.

The fact that a technology is listed does not mean every associated cookie is activated for every visitor.

Activation depends on the functionality being used, technical configuration and, where required, the user’s consent choices.

28. COOKIE CATEGORIES

28.1 Strictly Necessary

These technologies are required to provide requested functionality or essential Platform operation.

They may support:

  1. login;
  2. authentication;

  4. Account sessions;
  5. basket functionality;
  6. checkout;
  7. Membership purchase;
  8. payments;
  9. fraud prevention;
  10. subscriptions; and
  11. recording privacy preferences.

Where an applicable legal exception permits their use without consent, they may operate automatically.

28.2 Functional

These support additional website features or third-party functionality.

Where consent is required, they will not be activated until the appropriate consent has been provided.

28.3 Analytics

Analytics technologies help Ventago understand:

  1. visits;
  2. sessions;
  3. pages viewed;
  4. interactions;
  5. navigation;
  6. usage patterns; and
  7. website performance.

Ventago uses Google Analytics 4.

Analytics technologies requiring consent will remain disabled until the user accepts the Analytics category.

28.4 Advertisement / Marketing

These technologies may be used to measure or support advertising and marketing.

Where Ventago deploys Meta Pixel or another advertising/tracking technology, it will be treated as Advertisement/Marketing where appropriate.

Technologies requiring consent will not be activated before that consent has been obtained.

29. WORDPRESS COOKIES

WordPress may use cookies for Account login, authentication, security and preferences.

The precise cookies depend on whether the user is logged in and the functionality used.

Cookie Provider Purpose Category Duration
wordpress_logged_in_ WordPress Maintains logged-in session Strictly Necessary Session/login period

  1. processing payments;
  2. authentication;
  3. security;
  4. fraud detection and prevention;
  5. recurring payments; and
  6. related payment functionality.

Certain technologies may be necessary to securely provide the payment functionality requested by the user.

The precise technologies used may depend on Stripe’s current payment and security configuration.

32. GOOGLE ANALYTICS 4

Ventago uses Google Analytics 4 (GA4) to understand use and performance of the Platform.

Google Analytics technologies requiring consent are configured to operate only after the user has consented to Analytics technologies.

Standard GA4 cookies may include:

Cookie Provider Purpose Category Duration
_ga Google Analytics Distinguishes users Analytics 2 years
_ga_<container-id> Google Analytics Maintains session state Analytics 2 years

The periods shown are standard values and may change if configuration changes.

33. GOOGLE TAG MANAGER

Ventago uses Google Tag Manager (GTM)to manage website tags and integrations.

The privacy and consent requirements applicable to a tag depend on the purpose and operation of that tag.

Ventago will configure GTM so that tags requiring consent are not activated before the relevant consent is obtained.

For example:

  1. Analytics tags follow the Analytics preference; and
  2. advertising/Meta tracking tags follow the Advertisement/Marketing preference.

34. FACEBOOK / META

Ventago may use Facebook/Meta integrations and may deploy Meta Pixel.

Where Meta technology is used for advertising, measurement, tracking or profiling, it will be treated as an Advertisement/Marketing technology where appropriate.

Technologies requiring consent will not be activated before the relevant consent has been provided.

Depending on configuration, information concerning interaction with Ventago may be transmitted to Meta.

A simple link from Ventago to Facebook does not by itself mean that Meta tracking is active.

35. GOOGLE MAPS

Ventago may use Google Maps to display location-related information.

Where an embedded Google Maps service stores or accesses information on a user’s device and no applicable legal exception applies, the appropriate consent control will apply.

If consent is required but has not been given, embedded functionality may remain unavailable until the user enables it.

36. GOOGLE reCAPTCHA

Ventago uses Google reCAPTCHA to help protect the Platform and forms from spam, automated abuse and malicious activity.

reCAPTCHA may process technical information and use storage/access technologies for security and risk assessment.

Ventago will apply the appropriate consent or legal exception according to the actual purpose and configuration of the technology.

37. COOKIEYES

Ventago uses CookieYes as its consent-management platform.

CookieYes may be used to:

  1. display the consent mechanism;
  2. present cookie categories;
  3. record choices;
  4. prevent technologies requiring consent from operating before consent;
  5. allow preferences to be changed; and
  6. maintain evidence of consent.

CookieYes may use the necessary cookieyes-consent cookie to maintain information concerning the user’s consent preferences and Consent ID.

Under the standard configuration adopted by Ventago, consent preferences may be retained for approximately 365 days, unless configuration is changed.

38. HOW THE CONSENT MECHANISM WORKS

Where consent is required, the initial Ventago cookie mechanism will provide clear options to:

  1. Accept All
  2. Reject All
  3. Manage Preferences

Users who select Manage Preferences will be able to control relevant non-essential categories.

Strictly Necessary technologies may remain active where they are required to provide the requested service and fall within an applicable legal exception.

Technologies requiring consent will remain disabled unless and until the appropriate consent is provided.

Merely continuing to browse, ignoring or closing the banner does not constitute consent where valid consent is legally required.

39. MANAGING COOKIE PREFERENCES

Users may control available non-essential categories, including:

39.1 Strictly Necessary

Active where required and legally exempt.

39.2 Functional

Controlled according to the technology and applicable consent requirements.

39.3 Analytics

Includes Google Analytics technologies requiring consent.

39.4 Advertisement / Marketing

Includes Meta/Facebook advertising or tracking technologies where deployed.

A Member is not required to accept Analytics or Advertisement/Marketing technologies in order to obtain ordinary access to Ventago Membership.

40. CHANGING OR WITHDRAWING COOKIE CONSENT

Where a technology operates on the basis of consent, consent may be changed or withdrawn at any time.

Ventago will provide an accessible mechanism to reopen cookie preferences.

Withdrawing consent should be as easy as giving consent.

After withdrawal, technologies requiring that consent will no longer be activated for the relevant purpose.

Withdrawal does not affect processing lawfully carried out before consent was withdrawn.

41. RECORDING COOKIE CONSENT

CookieYes may maintain records of users’ choices.

Depending on configuration, these records may include:

  1. Consent ID;
  2. domain;
  3. date of the choice;
  4. consent status;
  5. category preferences; and
  6. technical information necessary to maintain evidence of the decision.

Such records may be retained for an appropriate period to demonstrate compliance and respect user preferences.

42. BROWSER CONTROLS

Most browsers allow users to view, block or delete cookies.

Blocking all cookies may prevent important Ventago functions from operating correctly, including:

  1. Account login;
  2. Membership purchase;
  3. basket;
  4. checkout;
  5. subscription management; and
  6. payment functionality.

Browser controls operate separately from Ventago’s own consent controls.
